Use AI Without Putting Your Business at Risk.
Your team is probably already using AI tools, whether you’ve approved them or not. We help you decide which tools are safe, set simple rules your team can follow, make sure company data stays protected, and build AI into your technology roadmap so it supports the business instead of creating new risk.
AI Is Already in Your Business. Is Anyone Steering It?
Most businesses didn’t plan for AI. It showed up one employee and one free tool at a time. Employees sign up for free AI tools on their own, and some of those tools keep what you type. Client details, financials, and contracts end up in places your business never vetted.
Without a policy, everyone guesses what’s OK. The careful people avoid AI entirely, and the rest use whatever is easiest. Meanwhile you keep hearing you need to “do something with AI,” but nobody has shown you where it actually fits.
What’s Safe to Share?
A sample of the kind of plain-English guidance an AI policy gives your team. Example
Generally OK
Public information, drafting general emails, brainstorming ideas.
Ask first
Internal documents, or anything in a tool that hasn’t been approved.
Never
Client personal data, passwords, financial or health records.
What AI Strategy & Governance Includes
Practical guardrails and a plan, not hype.
- Step 1
A Simple AI Use Policy
Clear, plain-English rules on which tools are approved, what information can and can’t be shared, and who to ask.
- Step 2
Approved, Secure Tools
Recommendations for AI tools that protect your data, including AI built into Microsoft 365, set up with the right permissions.
- Step 3
Data Protection Checks
We review file sharing and permissions so AI assistants only see what each person is allowed to see.
- Step 4
AI on Your Roadmap
Your vCIO reviews AI opportunities and risks with you during quarterly business reviews, so adoption follows a plan.
Should we just ban AI?
Usually not. Bans tend to push AI use out of sight. Approved tools plus clear rules are safer and let your team get the benefits.
Is this included in our partnership?
Yes. Guidance, policy, and planning are part of every partnership. Building specific AI tools or automations is a separate service (see AI Implementation & Automation).
Is Microsoft Copilot safe to use?
It can be, once your permissions are in order. Copilot can see whatever a user can see, so we check file sharing before turning it on.
We’re not ready for AI. Do we need this?
If anyone on your team uses ChatGPT or similar tools, you already have AI in your business. A short policy is the easiest first step.
One Partner. One Plan. One Agreement.
This isn’t a separate contract. It’s one part of the InfoTech Partnership Agreement, which brings support, security, backups, networking, Microsoft 365, and planning together under one team and one monthly agreement.
